Problem

When attempting to create a new user profile in Nexa, the employee's name is not appearing when searching the User Profile Name dropdown list



Solution

Note: user profiles are typically created/managed by Nexa Admins so the steps below will assume Admin level access 



Check to see if the employee already has a Nexa profile 

  • Go to the User Profile index and search for the employee name in the 'User Profile Name' column. 
  • The default view in the User Profile index only shows active profiles. If the employee is not new to Kemin it is possible that their profile has been inactivated
  • To view Active and Inactive profiles use the filter builder button, click the x next to 'Inactive Equals No', and click OK 
  • If they have an profile that is Inactive, open the profile and click the Reactivate button 


Has the employee started?


iCIMS set up/folder 

Note: IT cannot make changes in iCIMS, only HR. Tier 3 can only check the folder status of iCIMS

  • In order for an employee's name to pull into Nexa the employee must be in the Emp:Current Employee folder and NOT the Cand:Hire folder in iCIMS. 
  • Work with Tier III or HR to check the iCIMS folder. 
    • If the employee is not in the Emp:Current Employee folder, the Nexa admin should contact the BU's HR and request for iCIMS to be updated 
    • Their profile must also be set up properly in the usual format (first initial last name). 
  •  Once iCIMS has been updated the employee should show up in Nexa the following day but it may take up to two days depending on when the change was made. Automated processes run overnight to pull the data into Nexa.  


Active Directory - Rare

The employee must be set up in Active Directory before a profile can be created in Nexa. 

  • Verify that the spelling of the Employee Name and e-mail are correct in Active directory.
  • Language/keyboard differences.  Some regions use special characters for the user’s name such as é (example: Véronique Hébert-Lussier) and depending on keyboard/language settings you may not be able to type in the name. Use copy and paste from AD or another source to capture the format.  Alternatively, you can search just using part of the employee’s name.  
  • Name Change. Has the employee recently changed their name? If the employee has changed their name it will need to be updated in AD (and any other relevant systems). Then their existing Nexa Profile can be updated by Tier 3.
