On Power BI Service, users can subscribe to reports and dashboards. Subscription is a way for users to stay up to date with reports and dashboards. Once you subscribe to report pages or dashboards,   Power BI will email a snapshot to your inbox. You can tell Power BI how often you want to receive the emails: daily, weekly, or when the data refresh. You can even set a specific time for Power BI to send the emails or have it run now. However, this function requires a Pro or Premium Per User license. 

 

How to subscribe to reports and dashboards:

  1. You should be able to find a Subscribe icon on the mini ribbon of a report:

 

 

        2. Once you select Add new subscription, the screen on the left will appear when you're on a report page, and the screen on the right will appear when you're on a dashboard. 

 

 

 

  1. The yellow slider is used to turn on/off a subscription. When the slider is set to OFF, the subscription is not delete . To delete a subscription, select the trashcan icon on the right of the slider. 
  2. Add at least one email address to send the subscription emails to. You must also give a subject of the email and an optional message. 

           DEF. This is where you specify how often you want to recipients to receive the subscription email. All subscriptions that have the frequency set to After data refresh will only send an email after the first scheduled refresh on that day.

  1. Select one or more of the checkboxes to specify what you want to include in the subscription emails. 
  2. You can test out your subscription by selecting Run now. This will send the subscription emails right away.

Managing subscriptions

 

You can only manage the subscriptions you have created. Select Subscribe again on the mini ribbon and choose Manage all subscriptions in the lower left corner. 

 

 

Only subscriptions for the current workspace will be displayed. You can edit the subscription by clicking the pencil icon. 

 


  

A subscription will end if the Pro or Premium Per User (PPU) license expires, the dashboard or report is deleted by the owner, or the user account used to create the subscription is deleted. For more information on Power BI Licenses, please refer to this article.
